These days, the most successful travel advisors are not just salespeople who offer impeccable customer service; rather, they are content creators, strategists, marketing managers, receptionists and business development managers all rolled into one. And they aren’t afraid to adopt the latest technology to help amplify their strengths and automate the tasks that drag them down.
“New travel technology will always benefit my business so long as it broadens my understanding and makes my processes more efficient,” said Cole Kirkpatrick, a travel advisor for Classic Travel Connection. “I see advisors becoming hesitant because learning and implementing new technology can be time-consuming, especially when they are already stretched too thin.”
When technology starts to become outdated, it could become a threat to an advisor’s business, Kirkpatrick notes, which is why he recommends agents stay up-to-date with the tech that clients often use themselves.
What follows are practical tech tools at various price points that advisors can leverage to make their jobs easier and more efficient. By embracing these services and platforms, agents can elevate their businesses, stay competitive and deliver exceptional service to their clients at scale.
Calendly
Use for: Scheduling meetings
Having trouble locking in an initial consultation with a potential client? With Calendly, advisors can reduce friction from the start of the booking journey and help ensure a better overall customer experience. The scheduler syncs with the user’s calendar to automate appointment scheduling and reduce unnecessary email communications. The platform integrates with Microsoft Teams, Gmail, Zoom, LinkedIn and Google Meet, among other applications, and assists with keeping track of contacts and meeting history.

Smith says she also uses the tool for appointments with industry partners and vendors for training and webinars. And, because it syncs to her Google calendar, it’s a tremendous help in avoiding booking conflicts.
Paid Calendly accounts offer unlimited event types and can connect multiple calendars within your agency. Advisors can also automate thank you messages to invitees after the meeting has occurred, create group events, view analytics about scheduled meetings and create meetings that require upfront payments, billed through PayPal or Stripe.
Cost: Basic scheduling is free, and paid plans start at $10 per month.
CapCut
Use for: Editing videos for social
In 2025, likes, shares and engagement are as important as ever. Seventy-one percent of travel advisors report that social media is their top marketing method, according to a recent Need to Know survey by TravelAge West. And 39% report that content marketing (such as blogging and videos) plays a major role in their overall strategy. But creating fresh content to fill a social media calendar takes time and resources — of which independent advisors are in short supply. That’s where CapCut can help.
I love CapCut because it creates Reels for me in just a few clicks, decreases the amount of time I spend on trivial things and thus increases my productivity.
“I love CapCut because it creates Reels for me in just a few clicks, decreases the amount of time I spend on trivial things and thus increases my productivity,” said Hope Reynolds, a concierge travel planner for Cupcake Castles Travel Company.
Owned by TikTok’s parent company, ByteDance, CapCut is a simplified video editing tool with audio and visual effects, video templates and filters. Use its search function to find a video style that matches your media, add clips and photos from your photo library and voila: You’ve made your next Instagram Reel, YouTube Short or TikTok.
Cost: CapCut is free, although some assets are only available for CapCut Pro accounts ($7.99 to $9.99 per month). With the free version, videos shared outside of TikTok will carry a watermark.
Elevae Visuals
Use for: Stock visuals, branding
While there are several free stock photography platforms, such as Unsplash or Pexels, some advisors may opt to invest in high-resolution images and illustrations that offer better brand continuity. Designed to empower female entrepreneurs and elevate their marketing, Elevae Visuals offers more than 8,000 lifestyle, mock-up and flat-lay images and videos that can be tailored to a specific niche.

What I love about the platform is you can not only filter by lifestyle, wellness or travel; you can also search by your brand’s color palette — so you can select photos and videos that best complement your online presence.”

Host Agency Reviews’ Travel Agency Software Profiles
Use for: Researching and comparing travel software
When it comes to accelerating business through a consortium or host agency, travel advisors might find themselves faced with a paradox of choice. To help simplify the process, Host Agency Reviews (HAR) recently launched Travel Agency Software Profiles, an interactive directory of travel software and their affiliations.
“We realized advisors needed a clear picture of what technology they would get when partnering with different hosts and consortia,” said Stephanie Lee, founder of HAR. “Plus, there wasn’t a good place for advisors to compare all their agency software options in one spot. As it turns out, we massively underestimated the agency tech market. We thought we’d feature about 15 tools, but we’re looking at more than 60 companies eager to be featured.”
Curious about PlanitEasy, VacationCRM, Axus or Sion? Advisors can find tech solutions that integrate with programs they already use, rate their experiences with various tools, read reviews by their peers and better understand which problems each tech tool solves.

Loom
Use for: Troubleshooting, itinerary overviews, staff training
Want to free up your calendar from video meetings? Loom is an online screen recording tool that allows users to create informational videos and share them. Think of Loom as a one-sided Zoom that allows users to record their screens, webcam and audio. This easy-to-use tool has seemingly endless applications, including onboarding new advisors or walking clients through a proposal.
“Loom is the best tool that has happened to the industry,” said Jennifer Jacob, co-founder of Tique HQ. “When you use it, you’re controlling the narrative and the conversation.”
Using Loom to give an overview of a proposal, advisors can position themselves to close faster. First off, advisors can record themselves at a time that works best and not wait for a client’s calendar to match up. This also gives clients the flexibility to review the Loom at a time that works for them.

When you send a personalized video walking clients through their dream vacation — giving anecdotes about why you picked the hotel, the private transfers, your connections to the property and opportunities for upgrades — you are going to close at a higher ticket price.”
Cost: A Starter account is free and allows users to create 25 videos per month with a 5-minute limit. A Business account offers unlimited videos with unlimited recording lengths for $15 per month.
LuxPages
Use for: Researching suppliers
The founders of LuxPages — a travel advisor with more than 30 years of experience and a supplier with more than 20 years in the industry — aim to fill a gap in the market with a centralized, reliable source of supplier information. Similar to The Hive and TA Toolkit, LuxPages is an online community and database of suppliers with descriptions, membership details and key contact information. LuxPages specializes in luxury travel and allows members to build relationships, regardless of affiliations.
Each supplier is vetted by LuxPages’ team of seasoned industry experts, and if they are not familiar with the supplier, they reach out for travel advisor references and perform due diligence to ensure they are a sound match for the community. On the flip side, the platform offers a supplier membership for connecting with advisors, sharing product updates and building awareness.
“There’s a desire to connect, and LuxPages makes it very easy for you to directly get in touch with a sales representative,” said Bradshaw Almond of Savor Fare Travel Co. “With a consortium or a host agency, you might find a random email for a supplier, but sometimes that person is no longer with the company. LuxPages keeps contact info up to date, so you’re always going to have a live, working email.”
Cost: Annual pricing for individual advisors is $216, and a 30-day free trial is available. Agency owners can save with bulk license pricing via a customized Agency Enterprise Account.
Manychat
Use for: Capturing leads
With Manychat’s custom chatbot technology, agencies can automate customer interactions and build relationships through apps such as Instagram direct messages (DMs), WhatsApp and Facebook Messenger. Advisors can automatically respond to FAQs and capture email addresses and phone numbers, and engage with every message, mention or reaction on Instagram so as to not miss a potential lead.
Now, I don’t feel like I need to be on my phone all the time because I know I have this system in place.
“Manychat keeps a lead warm and helps with immediate satisfaction when somebody’s perusing your social media or just wanting to reach out in your DMs,” Bradshaw Almond said. “Now, I don’t feel like I need to be on my phone all the time because I know I have this system in place.”
Through an easy-to-navigate Manychat Flow Builder tool, advisors create email marketing funnels that help boost conversions. An AI Flow Builder assistant can even build and optimize Flows on your behalf.
Cost: Basic accounts are free. Pro accounts are $15 per month.
Tern
Use for: Itinerary building, a CRM, invoicing
The idea for Tern was born at the 2022 ASTA Travel Advisor Conference in San Francisco.
After speaking with travel advisors and agency owners on the conference floor and during networking events, the platform’s team discovered that advisors juggled multiple software platforms to run their businesses and identified inefficiencies in several areas.
Tern is a software platform that was designed to address travel advisors’ biggest pain points.
Credit: 2025 TernThe solution? An all-in-one platform that combines itinerary building, a CRM, invoicing and task automation. An alternative to Travefy and TravelJoy, Tern also offers an agency back-office, meaning no redundant data entry for travel advisors.
“At Tern, we have built a software platform specifically for travel advisors designed to streamline the complexity of running a travel business while enhancing the client experience,” said David Shull, CEO and co-founder of Tern. “Our mission is to simplify the day-to-day operations of advisors, allowing them to focus on building relationships and providing exceptional experiences for their clients.”
The company continues to iterate based on advisor feedback, shipping updates to users each week. To that end, Tern is expected to roll out a group travel feature later this year. This will streamline the management of large bookings and group trips, an area where advisors requested more functionality.
Cost: Tern costs $49 per month for an individual subscription. Annual pricing is $420. Agencies can get team discounts as high as 45% off the monthly cost (depending on size and contract duration).
Travel Agent Collective
Use for: Scheduling social media posts
Travel Agent Collective is a marketing hub designed to help advisors grow their client list and bookings through social media and email. The platform offers a variety of features, including social media scheduling, a hashtag generator and AI-powered marketing tools. It also provides access to a library of Canva templates and on-demand educational courses to help agents develop their marketing skills.

Credit: 2025 Travel Agent CollectiveUnlike social media schedulers Sprout Social or Hootsuite, Travel Agent Collective creates monthly content calendars, complete with images, captions and ready-to-go Reels, customized to your specific marketing needs. All advisors have to do is edit the posts and schedule them to go live on LinkedIn, Facebook and Instagram. There’s even a gamification element, Social Jetsetter Rewards, to help keep advisors engaged.
“Travel advisors earn points every time they schedule content, take courses and complete small daily actions such as engaging on social media,” said Nikita France, founder of Travel Agent Collective. “Points can be redeemed for bonus resources such as plans, templates and courses — and this is all on top of the content we add to the platform every month. Let’s face it: Marketing can get monotonous. We wanted to give advisors something to look forward to and also reward them for their consistency and effort as they juggle so many things in their business.”
Cost: Annual plans are $57 per month.
